Position Overview

The ideal candidate will be a confident self-starter with an engaging personality who works well in high-pressure circumstances and with limited supervision. As a member of the CEO staff, the incumbent will interact with our Board of Directors, executive leaders and broader senior management team, administrative and support staff, and our colleagues around the world. In support of the CEO’s staff, the candidate will interact with the commercial team, other Oklahoma City functional leads and administrative assistants around the world. Due to the global nature of the business, responsibilities require the candidate to be exceptionally organized and flexible relative to work hours. Although the role requires a level of general administrative and office management work, the candidate’s primary focus is adding value as a high-caliber Executive Assistant committed to adding value and exceeding expectations.

 

Primary Responsibilities
 

The successful candidate will be expected to:

  • Provide support to CEOs and other executives in a one-on-one working relationship across a variety of functions
  • Serve as the liaison to the Board of Directors and broader senior management team, with oversight of special projects
  • Manage sensitive information with a high level of discretion and good judgment
  • Can work independently on projects, from conception to completion, and multi-task confidently in high-pressure circumstances
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Oklahoma City facility
  • In coordination with the Co-CEO's, and manage the Executives’ calendars
  • In coordination with the Co-CEO's, support logistics around meetings of the Board of Director’s and Leadership Team quarterly and monthly Business Reviews
  • Assists the Executives in establishing priorities relating to daily, monthly, and annual schedules
  • Ensure the Executive’s are prepared with all necessary materials for meetings
  • Serve as point of contact for all CEO’s outside board activities, including heavy planning and coordination of multiple board meetings throughout the year in various global locations
  • Manage numerous domestic and international travel arrangements, including: air reservations, cost comparisons, scheduling options, hotel reservations, ground arrangements, car rentals, etc
  • Works on special nonrecurring and ongoing projects. Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, working on org charts, coordinating direct mailings, creating brochures
  • Types and designs general correspondences, memos, customer communication, charts, tables, graphs, meeting notes, travel itineraries, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy
  • Track a wide range of expenses and prepare the Executive’s expense reports in a timely fashion
  • Serve as Office Manager, overseeing office operations and procedures at the Oklahoma City location
  • Responsible for overall office activities, including the reception area, mail, large purchasing requests and coordinating with the facilities team
 

Qualifications & Experience

  • A four-year college degree plus at least four years of relevant work experience at a global company or organization
  • Ideally a few years’ experience as an Executive Assistant reporting directly to senior management at a public company or private equity firm
  • Advanced Microsoft Office skills, with an ability to become familiar with company-specific programs and software
  • Experienced in collaborating with key resources and stakeholders, influencing decisions and managing work to achieve strategic goals

 

Requirements

  • A candidate that we would love would be a dynamic, engaging, well-rounded individual with the capability to deliver exceptional executive level administrative support
  • Exceptional verbal and written communication, interpersonal, organization and technical skills. Has the ability to succinctly communicate both internally (with our company leaders and operating, functional and administrative colleagues) and externally (with our Board of Director’s, investors, bankers, and visitors)
  • Strong math, organizational, research, project management and problem-solving skills
  • Highly self-motivated, professional, and capable of managing a complex workload, maintaining balance among multiple priorities in a fast-paced corporate environment
  • Detail oriented and proactive about learning new concepts
  • Friendly and positive personality, coupled with a strong professional presence, office acumen and business mentality
  • Demonstrated ability to exercise good judgment in a variety of situations.  Manages confidential information with a high level of discretion
  • Self-starter with the ability to work independently as well as a demonstrated ability to collaborate with key resources and stakeholders, influencing decisions and managing work to achieve strategic goals
  • Highly capable in organizing and planning events attended by seniors’ business professionals
  • Highly capable in booking and managing complex international business travel and related visa requirements

 

Desired Characteristics

  • Proficiency in any foreign language would be a plus (French, Dutch, Portuguese, Arabic or Chinese would be highly valued)
